Call for Candidacy – Canada Summer Job: Data & Office Assistant

The Canadian Crafts Federation / Fédération canadienne des métiers d’art (CCF/FCMA) is seeking a motivated and digitally savvy summer student to join our team as a Data & Office assistant. The Data & Office Assistant will support the Canadian Crafts Federation (CCF/FCMA), a national not-for-profit arts service organization based in Ottawa, in strengthening its administrative systems, data organization, and operational workflows. This role is ideal for a youth interested in data management, non-profit administration, research, digital organization, and behind-the-scenes national arts operations. The participant will play an essential role in improving the accuracy, accessibility, and usability of organizational information, helping the CCF enhance efficiency and better serve provincial and territorial craft councils, partner organizations, and the wider craft community.

Contract Duration: 8 weeks of 35 hours, ending before August 29, 2026
Total Hours: 280 hours
Hourly Wage: $18.00
Work Environment: Remote – Home Office
Languages Required: English and French (Intermediate oral, reading, and writing)

Key Responsibilities

  • Assisting with the cleaning, organization, and updating of databases, including membership records, council contacts, committee rosters, national partner lists, and sector-wide resource inventories. 
  • Supporting data entry, digital file management, naming convention improvements, and the migration of internal documents to organized shared-drive structures. 
  • Conducting quality checks to ensure information is accurate, consistent, and aligned across systems used by staff and national partners. 
  • Assisting in the preparation of administrative tools that support national coordination, including tracking sheets, updated directories, project timelines, and standardized reporting templates. 
  • Contributing to data-gathering activities for national initiatives such as leadership development, sector mapping, craft export research, EDI training needs, and institutional knowledge transfer. 
  • Supporting the compilation and formatting of reports for committees, board members, and partner organizations, including summaries of meetings, progress updates, and sector snapshots. 
  • Helping prepare internal documentation for operational processes, including onboarding materials, internal workflows, and user-friendly guides for staff and council partners. 
  • Supporting the logistics and administrative coordination of organizational events, including national meetings, virtual gatherings, and exhibition-related planning sessions.
  • Gathering, organizing, and analyzing communications and engagement metrics to support internal planning and reporting. 
  • Contributing to national initiatives that rely on strong data foundations, such as the Learning Management System, export development preparation, and digital transformation projects. 
  • Assisting with general office support, including email organization, preparing meeting materials, scheduling support, note-taking, and updating internal documentation.

The participant will gain hands-on experience in organizational data management, nonprofit administration, project coordination, information systems, and office operations within a national arts organization. They will develop proficiency in digital file systems, spreadsheets, collaborative tools, and administrative software commonly used in the nonprofit sector. They will also learn how data supports cultural leadership, governance, advocacy, national programming, and organizational decision-making. This role offers exposure to professional workflows, database management, reporting preparation, and internal systems development, valuable skills for future careers in administration, records management, operations, research, data coordination, and arts management.
